ADMINISTRATION POLICIES
AND PROCEDURES

Academic Counseling and Assistance
The Music Director of the Academy and the faculty monitor the Academic and musical progress of students. Records for students are kept on file in the Registrar’s office and are available to students on request. Those students who are not progressing appropriately may be placed on probation and may be suspended from the Academy if satisfactory progress is not made by the end of the 2nd semester. Academic counseling and support shall be provided according to individual needs.

Academic Freedom Policy
The Academy of Music is committed to the protection of the academic freedom of its faculty. Academic Freedom includes the protection of the opportunity for the teachers to teach, and for the students to study, without coercion, censorship or other forms of restrictive interference. Any question, violation, or clarification needed of the policy should be reported to the Music Director. Discussion review, clarification, or sanctions will be decided by the Director, with input from the faculty.

Accompanying Policy
The Academy of Music provides accompanists only for group classes. There is no official school accompanist for private students. The choice of the accompanist is left to the student, but they must be approved by the studio teacher. Pianists who accompany authorized group classes are required to complete a time sheet, which will include the number of hours worked and the teacher’s signature. Payment is made once a month by the controller.

Dress Code
Students enrolled at the Academy must observe the following dress code.

Orchestra Concerts
Women: Long black skirts or pants, white blouse, dark shoes
Men: Dark suit, white shirt, black tie, dark socks and shoes.

Daily dress:
Must be appropriate for a school with young children in attendance.

Instruments
Students are expected to provide their own instruments [including reeds, strings, etc., and instrument maintenance] in their applied areas. Students using school-owned instruments are responsible for the condition of instruments including insurance. Lockers are provided only for full-time college students. Students are encouraged to store their instruments in these lockers for safety, convenience and security.

Publicity
All students give permission to the Academy for student images [including sound recordings] to be used in promotion materials, marketing, brochures, posters, flyers, video, and television publicity, school website, programs, and performances of the school, without restriction.

Security
The Academy of Music is not responsible for loss or damage to personal property. Students are advised not to leave items unattended; this includes musical instruments. Parents of young children must not leave their children unattended.

Sexual Harassment Policy
The Academy of Music has a written procedure to ensure that students, faculty, and staff who are victims of sexual harassment shall receive treatment and information. A complete policy of sexual harassments will be provided upon request.

Copying Policy
The copying of music, books and articles is generally prohibited. Exceptions to this rule apply if the purpose for duplication is for classroom use. Academy faculty will be provided a number for use of the copying machine, but must not copy any materials for students. Not under any circumstance should this number be provided to students. Students who wish to use the copying machine will also be provided a number for a specific fee.

Practice Room Policy
Practice rooms are made available for Academy students when studios are not being used for teaching. Rooms are available on a first come basis, but piano students should be given priority for studios with grand piano. Facilities at the Academy are not to be used by any persons unless arrangements have been approved by the administration.

Private Teaching Policy
It is the policy of the Academy that only students who are officially registered at the Academy are to be taught by the faculty or participate in class recitals. Registered students are not allowed to provide lessons to students at the Academy. It is the faculty member’s responsibility to be sure that every student they teach at the Academy is a registered student.

Recital Policy
At their teacher’s recommendation, advanced high school students may participate in a graded diploma program designed to prepare the students to continue their studies to a professional level. In order to receive a Performer’s Certificate from the Academy, a student must be enrolled at the Academy for no less than two years, must achieve Grade Four level in performance and theory, and must perform a recital graded by two members of the faculty. A grade of 85% must be achieved in order for a student to be awarded a Performer’s Certificate. There is a $100 adjudication fee for student recitals.

Programs
The students and faculty must provide complete program information to the Academy’s Registrar at least one week prior to the recital.

Library Policies

1.   Faculty, students and staff may borrow from the Academy library.
•  Books and music may be borrowed for 30 days.
•  Magazines and videos may be borrowed for 7 days
•  Recordings, chamber music, and reference materials do
    not circulate.
•  All items must be signed out at the Library front desk and
   returned to the “ Library Returns” slot in the front lobby.
•  The replacement value will be charged for unreturned items.

2.   Computers are available for research purposes only.

3.   The library is a quiet area.

4.   Food and drinks are not permitted in the library.

Withdrawal from the School
Students who wish to withdraw from the Academy should consult with their teachers and inform the office in writing before the Spring Semester. College students who do not plan to return for the next year should inform the Music Director in writing before the end of the academic year.
Change of Teacher Policy

Change of Teacher Policy
Students or parents who wish to change teachers from one academic year to the next must first speak to the Music Director and submit a letter requesting a new teacher. The Academy will not approve a mid-year change of teacher, except in rare circumstances. It is not the policy of the Academy for teachers to recruit other teachers’ students.
